Job Description

General Dynamics in Coralville, IA has an opportunity as a Facilities Specialist! The Facility Specialist will oversee facilities functions, including task coordination, vendor contract review, maintenance, coordination with landlord for building maintenance matters, etc., oversees, guides and implements all office moves, general maintenance, and other facilities functions related to moves and requisitions, Ensure compliance with company and government regulations related to safety, environmental and health issues, review policies and procedures to make the facilities function more effectively and efficiently, manage allocation of staff and associated expenditures and allocation of facility costs including rental, respond to questions and problems related to facilities from end users and management including landlord, coordinates building space allocation, layout and communication, participate in special projects as required, maintain current and leased asset inventory. The Facility Specialist will be required to travel.

Duties and Responsibilities:

  • Primary responsibility for Facilities Planning, space management, and project implementation
  • Coordination with GDIT Security & IT on security and IT facility issues.
  • Write and distribute emails to all staff to inform them of building matters.
  • Responsible for regular building inspections and documentation of the results, tracking follow up actions.
  • Maintaining truck logs for daily usage, monthly and annual inspections and arranging for maintenance.
  • Ordering kitchen and office supplies.
  • Working with the QEHS manager, to comply with QEHS guidelines.
  • Primary point of contact for all landlord management: maintenance, evacuations, special projects, and invoices
  • Coordinate maintenance and repairs of all facility issues, and facility equipment problems.
  • Management of vendor selection and purchases for site via P-Card, Tenant Improvement Funds and ESM.
  • Oversees asset management for the facility, and updates to the IFS inventory for incoming and outgoing assets including all new and old computer assets.
  • Manages the processing, packing and shipping of computer lease return assets.
  • Manage Conference Schedule, usage requests and support requirements.
  • Maintain the cleanliness and readiness of all Conference Rooms and Team Rooms and GDIT common spaces.
  • Announce meeting locations by posting signage on conference rooms.
  • Receipt, tracking and distribution of all incoming mail.
  • Have a working knowledge of OSHA requirements and OSHA compliance.
  • Ensure that all new hires are made aware of the EPP, EHS requirements, and where to find them.
  • Perform monthly check of all fire extinguishers, eye wash stations.
  • Perform a Semi-Annual QEHS self-audit on the facility and warehouse areas.
  • Monthly inspection of the chemical locker to ensure all chemical levels are accurate and to date, and ensure the chemicals used are properly labeled and allocated with the SDS spread sheet.
  • Ensure all SDS books located throughout the facility are up to date.
  • Ensure the SDS spreadsheet is up to date with what is actually located in the facility.
  • Conduct spot checks during different times of the month to ensure that employees are aware of EHS regulations (where to find the EPP; where to muster).
  • Conduct yearly fire drill and report to lead EHS manager.
  • Keep current the Roll Call list for evacuation drills.
  • Conduct monthly check of both ladder and tool check out sheets to ensure all check out/ check in procedures are being followed.
  • Conduct EHS Incident report/ Investigation and provide to upper management/ PM/ and EHS Manager.
  • Ensure new chemicals that come in the office are listed and updated accordingly in the SDS.
  • Document health and safety hazards and if any are found take necessary corrective action.
  • Issue PPE that maybe needed by employees within the facility.

Job Requirements

  • 2-5 years of related facilities administration experience.

Skills and Abilities:

  • Comprehensive knowledge of the practices, policies, and procedures involved in facilities management.
  • Working knowledge of:
  • Principles and practices of project management
  • Electrical and mechanical systems
  • Procurement and contracts
  • Health, safety and environment regulations
  • Experience in construction, maintenance and all facets of facility operation
  • Supervisory experience
  • Solid computer and systems knowledge
