Job Description

Manage and support all functions related to HR Records administration for an organization of 40,000+ active employees.  The HR Records Manager will be responsible for maintaining records across diverse platforms and formats; managing projects and records integration activities; managing electronic records system operations; developing policy and processes; and managing the support team of 5+ employees.  This position encompasses a combination of daily records administration; long-term, large-scale project management; and records personnel management.  It also requires collaboration with IT professionals to ensure that records systems operate effectively, and to identify and implement IT solutions for records storage and access. 

  • Manage Headquarters HR records team comprised of 5+ members.
  • Responsible for management, inventory, maintenance, and retention of personnel records of 40,000+ active employees as well as retention of personnel files of former employees.
  • Manage the integration, inventory, and retention/archiving of acquisition company records.
  • Manage offsite records storage inventory and processes.
  • Manage Human Resources records retention program and all associated policy and process components.
  • Evaluate and recommend appropriate solutions for managing large-scale and varied populations of employee records. Responsible for the implementation and management of recommended records management solutions.
  • Manage HR records compliance-related functions such as employment verifications, internal and external audit responses, and records review for security clearance investigations.
  • Manage vendor relationships and associated contracts.
  • Manage content on an HR SharePoint site and internally-developed processes to support records administration on SharePoint site. Work with IT partners to manage system and address any technical performance issues.
  • Responsible for compliance with and management of record hold orders.
  • Manage processes related to provision of records for internal and external stakeholders.
  • Ensure compliance with and manage support for Company's policy related to privacy of employee (and other persons') information.
  • Review and refine/develop employee life cycle processes to streamline and standardize. Update internal process documents and workflows.
  • Responsible for drafting policy and guidelines in support of above functions and for drafting human resources policies and guidelines as needed.

Job Requirements

8-10 years of related records management experience, including supervisory experience.

  • Experience with managing large-scale records or document retention functions.
  • Knowledge of human resources and legal requirements related to record retention.
  • Experience with SharePoint and large-scale HRIS and ATS preferred (PeopleSoft, Workday, iCIMS). 
  • Experience with managing staff and assigning priorities.
  • Ability to independently manage projects from initiation to completion.
  • Ability to work with IT, HRIS, and other partners to develop systems-based solutions to records management needs.
  • Excellent written and oral communication skills, collaboration and customer service skills.
  • Knowledge of MS Office functions
